These Terms and Conditions (“Terms”) govern the relationship between you (“Client” or “you”) and Xplore Holidayz (“Company,” “we,” or “us”). By booking a tour or service with us, you agree to be bound by these Terms. Please read them carefully before confirming any booking.

USER INFORMATION

To access certain services on our website, users may be required to provide personal information such as name, email address, gender, age, PIN code, payment details, medical history, sexual orientation, biometric data, passwords, and other relevant information like occupation or interests. This data helps us improve our website and deliver a more personalized and user-friendly experience. The type of information collected depends on the service requested, and it may be used to maintain, protect, and enhance our services, including advertising, as well as to develop new offerings. Information that is publicly available or obtained under the Right to Information Act, 2005, or any other applicable law in force, is not considered sensitive.

Scope of Services

We provide the following types of travel services:

  • Group Tours: Fixed departures with pre-designed itineraries.
  • Customized Holidays: Tailor-made trips based on client preferences.
  • Adventure Packages: Thrilling trips like trekking, biking, or water sports.
  • Domestic & International Holidays: Carefully crafted experiences within India and select international destinations.

Booking and Payment Terms

A booking is considered confirmed only upon receipt of the specified deposit. All quotes are indicative and subject to availability and price changes until final payment is made. Any modifications related to your booking (hotels, airlines, itineraries, etc.) will be communicated within 72 working hours.

Payment Policy

You must follow the payment plan shared at the time of booking. Payments are accepted via UPI, bank transfer, debit/credit cards, and online payment gateways. All payments must be made in INR.

Any delay or failure in payment may result in the cancellation of services at the company’s discretion.

Government Regulation: A 20% TCS (Tax Collected at Source) applies to international travel bookings exceeding ₹7 lakhs in a financial year, as per Indian tax laws.

Important: Any amount directly deposited into our account without intimation may be forfeited.

Payment schedules may vary depending on the destination and time of travel (such as festive periods or peak seasons). Kindly confirm your exact timeline with your travel consultant.

Pricing and Inclusions

  • Final Pricing: Pricing is subject to change based on availability and foreign exchange rates. Final confirmation will be shared at the time of booking.
  • Inclusions/Exclusions: Only the services mentioned explicitly in your package confirmation are included. All other services will incur additional charges.

Cancellations and Refunds

Cancellation by Client

All cancellation requests must be submitted in writing. The cancellation charges applicable will be as per the policy shared at the time of booking.

Refunds (if any) will be processed within 7–10 working days, subject to the deduction of applicable charges. In most cases, a credit note will be issued instead of a direct refund.

Non-Refundable Components

Charges for services like flights, visa fees, and other non-refundable items will not be reimbursed, even in cases like visa rejection.

Travel Documents

Clients are responsible for ensuring accuracy in all documents (passports, visas, insurance, etc.). Xplore Holidayz will not be liable for errors not reported in time.

Cancellations and Refunds

Modifications by Xplore Holidayz

We reserve the right to modify itineraries or services due to unavoidable reasons such as weather, political unrest, or operational challenges. All changes will be conveyed as early as possible.

Group Tour Changes

Tours are subject to a minimum group size. If the required number isn’t met, we may suggest alternatives, reschedule the tour, or provide credit notes.

On-Tour Adjustments

Itinerary changes may occur on-ground for safety or operational reasons. We will try to minimize disruptions, but no refunds will be made for such changes.

Travel Insurance

We highly recommend purchasing comprehensive travel insurance for medical emergencies, cancellations, and baggage loss. Xplore Holidayz will not be held liable for losses due to lack of insurance.

Clients must disclose medical conditions prior to booking. We reserve the right to request a fitness certificate.

Health and Safety
  • Ensure you meet health-related travel requirements including vaccinations.
  • Clients must follow safety guidelines issued by the tour leader or representative.
  • Adventure activities are done at the traveler’s own risk. Medical fitness is essential.
Travel Documents & Visas
  • It is your responsibility to ensure valid passports, visas, or required ID cards are arranged in time.
  • We may assist with visa processing, but approval is at the discretion of the respective embassies.
  • For domestic travel, a government-issued photo ID is mandatory.
Air Travel Guidelines
  • We are not responsible for flight delays or cancellations. For flight-related issues, please contact the airline directly.
  • Baggage delays or damages are to be resolved with the airline.
  • If ticket fares increase due to taxes, fuel surcharges, or currency fluctuations before issuance, the difference must be paid by the client.
  • Meals on budget airlines are not included unless mentioned.
Hotel Policies
  • Check-in: 3 PM | Check-out: 11 AM (subject to hotel policies)
  • Room categories and amenities may differ by region. For example, non-AC rooms may be provided in cooler destinations.
  • Additional charges (mini-bar, city tax, room service) must be settled by the traveler at check-out.
Transfers & Sightseeing
  • Transfers are as per itinerary and cannot be reused or rescheduled.
  • Missed transfers due to delays by the client may not be compensated.
  • Sightseeing tours may change due to local conditions without prior notice.
Limitation of Liability
  • We act as a facilitator between clients and third-party providers (airlines, hotels, transport services).
  • We are not responsible for loss, injury, delay, or damage caused by third parties.
  • We are not liable for personal item losses (e.g., passports, IDs, cash).
Client Conduct
  • Clients are expected to behave respectfully. Misconduct may lead to service cancellation without a refund.
  • Any property damage during the trip will be charged to the client.
Privacy & Data
  • Personal data collected is used solely for service delivery and will be handled as per our Privacy Policy.
  • Data may be shared with third parties involved in fulfilling your travel experience.
Legal Jurisdiction
  • These Terms are governed by the laws of India.
  • Any disputes will be resolved under the jurisdiction of the courts in Tamil Nadu.
  • Complaints must be reported during or immediately after the trip for timely resolution.
Force Majeure
  • Events like natural calamities, strikes, pandemics, etc., are beyond our control. In such cases, we may cancel or reschedule services. Refunds will be processed after deducting any non-refundable expenses.

Amendments
  • We reserve the right to update these Terms from time to time. Any changes will be published on our website. Continued use of our services implies acceptance of the latest Terms.

Cancellations and Refunds

For Domestic & Short International Trips
  • (e.g. Bhutan, Nepal, Sri Lanka, Singapore, Thailand, Bali, Dubai, Vietnam, Maldives, etc.)

Payment Terms:
  • At Booking: 25% of total tour cost
  • 45 Days Before Travel: 50% of total cost
  • 30 Days Before Travel: 75% of total cost
  • 20 Days Before Travel: 100% of tour cost
    (Flights and non-refundable services must be paid in full upfront)
Cancellation Terms:
  • 31+ Days Before Travel: Booking amount is non-refundable. Balance as credit note.
  • 16–30 Days Before Travel: 50% cancellation fee
  • 15 or Fewer Days Before Travel: 100% cancellation fee
    (Airfare cancellation applies separately)
  • 31+ Days Before Travel: Booking amount is non-refundable. Balance as credit note.

For Long-Distance International Trips
  • (e.g. Europe, USA, UK, Australia, South Africa, etc.)

Payment Terms:
  • At Booking: ₹40,000 per person or cancellation fee (whichever is higher)
  • 60 Days Before Travel: 50%
  • 45 Days Before Travel: 75%
  • 30 Days Before Travel: 100%
Cancellation Terms:
  • 46+ Days Before Travel: Booking amount is non-refundable. Balance as credit note.
  • 31–45 Days: 60% of tour cost
  • 21–30 Days: 80% of tour cost
  • 20 or Fewer Days: 100% cancellation fee

Final Acknowledgment

  • By booking with Xplore Holidayz, you confirm that you have read, understood, and agreed to these Terms & Conditions. These form the entire agreement between you and Xplore Holidayz.
